Prior to submission

With prior enrolment as a PhD student at the Graduate School, Arts
Prior to submission of your PhD dissertation, you must inform your supervisor AND PhD programme director about expected date of submission. The PhD programme director is responsible for appointing an assessment committee, and must submit a suggestion to the relevant PhD programme administrator well in advance of submission of the PhD dissertation in question.

Without prior enrolment as a PhD student at the Graduate School, Arts
Prior to submission of your PhD dissertation, you must contact the relevant PhD programme administrator well in advance of submission of the PhD dissertation in question in order to get a link for the electronic application form. Guidelines for electronic application.

Close your PhD plan before your enrolment expires
As a PhD student enrolled at Arts you must remember to log on to your PhD plan and make sure that all courses and other activities are either marked ‘Completed’ or `Discarded´ before your enrolment expires. When you have made sure that your plan is ready to be closed click the ‘Close plan’ button. The plan will then be passed on to the administration.
   Once your plan has been closed and your access to PhD Planner has been revoked you can no longer access the information in your PhD plan. Please remember to take a copy of the data before your access is revoked.

Submission

Due to meetings, holidays etc. we cannot guarantee that the PhD Administration is present at all times, so please make sure to contact your PhD Administrator and arrange a date for submission.

Submission of the PhD dissertation with prior enrolment as a PhD student at the Graduate School, Arts:

  • For PhD students at Campus Aarhus, 5 copies of the dissertation are submitted to:
    Graduate School of Arts, Aarhus University, Tåsingegade 3, building 1443, DK-8000 Aarhus C, Denmark.
  • For PhD students at Campus Emdrup, 5 copies of the dissertation are submitted to:
    Danish School of Education, Tuborgvej 164, DK-2400 Copenhagen NV. Att. Maibritt Wraa Nielsen in room D328.
  • Also, PhD students are required to submit an electronical version of the dissertation. Please contact your PhD programme administrator before submitting your dissertation. You will be sent an e-mail in which you must upload your dissertation electronically (as one coherent pdf-file).

  • The 5 copies are for assessment purposes only. Additionally, you are responsible for copies to your supervisors, PhD programme director as well as to your department. Please remember to provide each page with a page number. Submitted copies must be placed in some kind of binding.

Enclosures:

  • Summary of the dissertation: Please enclose a summary of the dissertation in both Danish and English. Also, the title of the dissertation must be stated in both Danish and English.
    The pages of the summary is not included in the total number of pages of the dissertation.
  • Main supervisor statement: Please enclose main supervisor’s statement on the scholar’s entire PhD degree programme (i.e. the PhD degree programme is completed satisfactorily, the requirements of the Ministerial Order on course participation, experience with communication of knowledge and stays in other research environments have been fulfilled). English dissertation = English main supervisor statement.
  • Declaration: Please enclose a declaration on one's honour, stating that the dissertation has not been subject to prior evaluation.
  • Co-writing: In the case of co-writing, please enclose a declaration on co-writing or a declaration on projects that have been made in cooperation with other partners.
  • Summary of activities: Please enclose a summary of all activities (diploma supplenment), which have taken place during the enrolment period, in both Danish and English (the approved plan elements from PhD Planner).
    Please e-mail the lists (Word version) directly to your PhD programme administrator
    Please refrain from changing the layout of the form.
  • Assessment committee: Please enclose a suggestion for an assessment committee made by the PhD programme director.
  • List of enclosures: Please enclose a list of enclosures to the PhD dissertation
  • Receipt: If you would like af receipt please enclose the receipt for the submission of the dissertation.

Please submit the enclosures apart from the summaries as separate documents and not bound in the dissertation.


 

Submission of the PhD dissertation without prior enrolment as a PhD student - section 15 (2) in the Ministerial Order:

If you are not/have not been enrolled at Aarhus University, but wish to have your PhD dissertation assessed (according to The Ministerial Order and Ministerial Order on Amendment to Ministerial Order (PhD Order), § 15, 2), the costs are DKK 45.000,- in all.

The costs for constituting the assessment committee and assessing the dissertation amounts to DKK 30.000,-. The costs for conducting the PhD defence amounts to DKK 15.000,-.

  • Campus Aarhus: Please send 1 copy of the dissertation to:
    Graduate School of Arts, Aarhus University, Tåsingegade 3, building 1443, DK-8000 Aarhus C, Denmark
  • Campus Emdrup: Please send 1 copy of the dissertation to:
    Danish School of Education, Tuborgvej 164, DK-2400 Copenhagen NV., Denmark, Att. Maibritt Wraa Nielsen in room D329
  • If the dissertation is accepted for assessment, you will be requested to submit four extra copies of the dissertation and an electronical version of the dissertation (as one coherent pdf-file).

Online Publication of the PhD dissertation

After conferment of the PhD degree you are welcome to upload your dissertation on AU Library’s e-book platform: http://ebooks.au.dk/index.php/aul

Before you publish you must ensure that:

  • You only upload your own material or material for which you have been given prior permission from the other author(s) to do so. If the dissertation consists of articles which are published or submitted to other journals you need the acceptance from the publishers. You can normally get this permission following the instructions found here: http://library.au.dk/fileadmin/www.bibliotek.au.dk/services/udgiv-materialer/Obtain_permission_to_republish_articles_en-UK.pdf
  • The dissertation does not contain any personally sensitive data
  • The dissertation does not contain information which can be used in an application for a patent
  • If you want to publish the dissertation later via another publisher you need to ensure that the other publisher will accept that you have published your dissertation on AU Library’s E-book platform.
